Digital Signage Acceptable Use Policy
1. Purpose
The purpose of this policy is to establish guidelines for the appropriate use of the digital sign managed and operated by Clay City USA Foundation, Inc (CCUSA). The sign is used to distribute information, promote community events, provide directions, and support communication within Clay City.
2. Scope
This policy applies to CCUSA and those that contribute content for display on the digital sign.
3. Acceptable Use
Digital signage content must:
- Be relevant, accurate, and timely.
- Support the mission, vision, and values of CCUSA.
- Promote community events, internal communication, public awareness, CCUSA promotions of businesses, safety messages, or emergency notifications.
- Be appropriate for public viewing and non-offensive to diverse audiences.
- Comply with applicable laws, regulations, and internal policies (e.g., copyright, accessibility, branding standards).
4. Prohibited Use
Digital signage may not display:
- Offensive, discriminatory, or harassing content.
- Politically partisan messages, unless approved for civic informational purposes.
- Commercial advertisements not affiliated with or endorsed by CCUSA.
- Content that violates intellectual property rights or lacks proper licensing.
- False, misleading, or deceptive information.
- Content that supports political activities/events, candidates, statements, party fundraising or causes.
- Advertising for commercial or for-profit organizations.
- Personal messages.
- Classified advertisements.
- Commercial endorsements.
5. Content Approval and Management
- All content must be submitted through and approved by CCUSA.
- Only trained and authorized personnel may upload, schedule, or alter content on the signage systems.
- Emergency content may override scheduled programming as directed by [e.g., Security or Emergency Management].
6. Technical Standards
- Content must adhere to defined resolution, format, and duration guidelines.
7. Security and Access Control
- Access to digital systems must be restricted using unique user credentials and multi-factor authentication where possible.
- Devices must be kept up to date with security patches and antivirus protection.
- All content contributions are logged and monitored.
8. Accessibility Compliance
Content must be designed to meet accessibility standards including proper contrast, readable fonts, and alternative text where appropriate.
9. Violations and Enforcement
Violations of this policy may result in:
- Removal of non-compliant content.
10. Digital Signage Best Practices
- The goal is to capture the attention of a person in 5-10 seconds. If you cannot read it in 10 seconds, there is too much text.
- Simple is better – avoid having too many elements as having too many distracts from the message.
- Follow the 3×5 rule – three lines with five words or five lines with three words.
- For legibility purposes, use 40 pt. font for headlines and use 24 pt. or large font size for all other copy.
- Have a clear, concise call-to-action so users know how to take the next step in response to the digital promotion.
- Loop length for high-traffic areas should display ads for 5-8 seconds while low-traffic areas should display ads for 15-20 seconds.
- Maintaining strong contrast between text and background is essential for legibility. The most effective combinations are light-colored text on dark backgrounds or dark text on light backgrounds. Overly bright colors should be avoided, as they can cause eye strain.
- Solid red backgrounds are reserved exclusively for emergency messages and should never be used for general signage.
11. Submitting Signage Requests
To submit a request to place information on the CCUSA digital sign:
- Ensure information meets the Acceptable and Prohibited Use guidelines.
- Follow Digital Sign Best Practices.
- Submit message/information and artwork to ccusa@claycity.net at least two weeks prior to the requested publish date.
- All requests will be reviewed and approved by CCUSA. CCUSA will provide a copy of the final sign message to requester for approval.
